Organiser Agreement

This Organiser Agreement (“Agreement”) governs your use of What's On? as an organiser. The platform is operated by WHATS ON EVENTS LTD (company number 17375595), trading as What's On? (“we”, “us”, “the platform”). Our registered office is at 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ. This Agreement applies in addition to our Terms of Service, our Community Guidelines, and our Copyright and Intellectual Property policy. Our Privacy Policy explains how we handle personal data. By applying to become an organiser, or by continuing to manage an organiser group, you agree to the terms below on behalf of yourself and the organisation you represent. You confirm that you are authorised to represent your organisation and to accept this Agreement on its behalf.

Event submissions and organiser profiles are subject to automated and human moderation. Submitted text and images are checked automatically using a keyword filter and an AI moderation service, external links are checked for safety, and content may also be reviewed manually. We may, at our discretion and without prior notice:

4. Takedown, suspension, dormancy, and dissolution

We may suspend or dissolve an organiser group where this Agreement is breached, where content poses a risk to students, or where a group becomes inactive. Suspension hides a group and its events from students; dissolution removes the group. Group members will be notified of suspension, reinstatement, or dissolution where appropriate. We may act immediately in cases of serious risk.

Dormancy. Groups that stop publishing are flagged as dormant so the catalogue stays current. If your group has not submitted an event for 46 days we send a warning to the group; at 60 days the group is marked dormant. A group admin can reactivate the group from within the app at any time. Dormancy is an activity flag — unlike suspension, it does not hide events your group has already had approved.

If you disagree with a decision to reject content, suspend your group, or dissolve it, email privacy@whatson-events.com with enough detail for us to find the decision. We will review what you send and respond where we can; contacting us does not automatically pause a restriction already in place. The same route is set out in our Terms of Service § If you disagree with a decision.

Before a group is dissolved you may ask us for a copy of your group's event content, and we will provide what we reasonably can. Requests for personal data are handled through our Privacy Policy.

5. External links and ticket sales

The platform does not process payments or sell tickets. Any external links you add — including links to ticket sales, social media, or more information — are your responsibility. You are responsible for the accuracy, safety, and lawful operation of any external site or ticketing service you link to, and for any sales or transactions conducted there. We are not a party to, and accept no liability for, any transaction between you and a student on an external service.

6. Member and follower data

As an organiser group admin or member, you may have access to limited personal data about your group's members and followers — for example display names, the email addresses of your own group members, follower universities, and who is attending your events.

For your own use of that information, your organisation acts as an independent data controller and is responsible for complying with data protection law. We are the controller for the platform itself and for the purposes described in our Privacy Policy; we are not your processor, and you are not ours.

You must use this information only to administer your group and its events. You must not export, sell, publish, or use it for any unrelated purpose, including marketing unrelated to your events, and you must keep it secure and stop using it if a person leaves your group or unfollows you. Tell us promptly at support@whatson-events.com if you become aware that member or follower data has been lost or disclosed.

7. Intellectual property and licence

You retain ownership of the content and images you upload. By uploading content, you grant us a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, adapt (for formatting and display), and display that content within the platform for the purpose of operating and promoting the service. You confirm you have the rights necessary to grant this licence for everything you upload.

This is the same licence described in our Terms of Service under User-generated content, on the same terms as to sub-licensing to our service providers and to when the licence ends. Reporting infringement, and what happens if your content is removed after an infringement report, are covered in our Copyright and Intellectual Property policy.

8. Platform-listed organisations and claiming a listing

Not every organisation shown in the app has applied to become an organiser. We may publish event listings and organisation profile details on behalf of an organisation that is not yet managing its own presence on the platform, so that students can discover its events in the meantime. While a listing is platform-listed in this way, it remains under our operational control, including moderation, correction, and removal.

An organisation, or someone authorised to act for it, may claim a platform-listed entry by applying to become an organiser through the app or by contacting us. Once the application is approved, day-to-day responsibility for that organisation's events and profile content passes to the organiser, and this Agreement applies to everything they publish from that point on. This is not a permanent agency arrangement on our part, and a listing appearing in the app does not mean the organisation already holds an account with us.

9. Liability

You are responsible for your events and your content. To the extent permitted by law, we are not liable for losses arising from your events, your content, your external links, or your use of the platform. Nothing in this Agreement limits liability that cannot be limited by law.

10. Governing law

This Agreement is governed by the laws of England & Wales, and the courts of England & Wales have exclusive jurisdiction over any dispute arising from it.

11. Changes to this Agreement

We may update this Agreement as the platform evolves. The version and date below identify the current Agreement.

When you apply to become an organiser, we record the date and the version of this Agreement you accepted, and that record is carried over to your organiser group when the application is approved. Where a group has no acceptance on record — for example a group created before we started recording it — the group admin is asked to accept once, in the app, before continuing to manage the group.

Groups that have already accepted an earlier version are not required to re-accept version 1.1. The 21 August 2026 revision only clarifies § 8 on platform-listed organisations and is not a material change, so it does not require re-acceptance either. Where we make material changes in future, we may ask group admins to review and accept the updated Agreement before continuing to manage their group.
