Terms of Service

What's On? — Last updated: 21 August 2026

These Terms of Service (“Terms”) govern your use of What's On?, a mobile and web service that helps UK university students discover events. The service is operated by WHATS ON EVENTS LTD (company number 17375595), trading as What's On? (“we”, “us”, “the app”). Our registered office is at 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ. By creating an account, using the app, or submitting content, you agree to these Terms.

Documents that form part of these Terms

The following documents are incorporated into these Terms and apply to you when you use the app:

Community Guidelines — conduct standards, reporting, and what to expect from moderation.
Copyright and Intellectual Property policy — ownership, the licence you grant us, and how to report infringement.
Organiser Agreement — additional terms that apply if you apply to become an organiser or belong to an organiser group.

Our Privacy Policy and Cookie Policy explain how we handle personal data. They are important, but they are transparency notices rather than part of this contract. A full index is at whatson-events.com/legal.

If there is a conflict between these Terms and an incorporated document, these Terms take precedence, except that the Organiser Agreement prevails on matters specific to publishing events.

Eligibility and age

This service is intended for users aged 18 and over. By registering for or using the app, you confirm that you meet this requirement. We do not knowingly collect personal data from anyone under 18. If you believe a person under 18 has created an account, please contact us (see Contact below).

Your account

You must provide accurate registration information and keep your login credentials secure.
You are responsible for activity that occurs under your account.
Student accounts require a valid university .ac.uk email address; organiser-only accounts follow the separate registration rules shown in the app.
You may delete your account from within the app. If you are the admin of an active organiser group, you must transfer that role or have the group dissolved first.
Deleting your account removes your personal records, but some material is retained — including events published on behalf of an organiser group, and reports and feature requests you submitted. Our Privacy Policy sets out exactly what is removed, what is kept, and for how long.
You can ask us for a copy of your data at any time, and exercise your other data protection rights, using the routes in our Privacy Policy.

Acceptable use

You agree not to use the app to:

Break any applicable law or university code of conduct.
Harass, threaten, defame, or discriminate against others.
Post false, misleading, or fraudulent event information.
Upload content that is obscene, hateful, violent, or otherwise unlawful.
Infringe intellectual property, privacy, or publicity rights.
Spam, scrape, or attempt to disrupt the service or its users.
Impersonate another person, society, or organisation.
Circumvent moderation, access controls, or technical limits.

User-generated content

User-generated content (UGC) includes event titles, descriptions, images, links, organiser group profiles, and related submissions. You retain ownership of content you submit, but you grant us a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, adapt (for formatting and display), and display that content within the platform for the purpose of operating and promoting the service. You must have the right to submit any content you upload.

That licence is sub-licensable and transferable only so far as is needed to run the service — for example to the hosting, image delivery, and moderation providers listed in our Privacy Policy, or to a successor if the service is transferred. It lasts while your content is on the platform and ends when the content is deleted, except that we may keep copies in routine backups for a limited period, and may keep records of removed content where we need them for moderation, safety, or legal reasons.

Organiser obligations

If you apply for or belong to an organiser group, or submit events on its behalf, the Organiser Agreement applies in addition to these Terms. You additionally agree to:

Provide accurate, up-to-date event details (date, location, cost, and description).
Ensure events comply with applicable laws, licensing, and venue or university rules.
Respond appropriately to attendee and follower communications where relevant to your events.
Not use private or invite-only visibility settings to harass, exclude unlawfully, or mislead users.
Accept that group admins may manage membership, invitations, and follow requests according to app features and these Terms.

Organiser groups and their events remain subject to moderation and may be suspended or removed if they breach these Terms.

Platform-listed organisations

Not every organisation shown in the app manages its own presence on the platform yet. We may publish event listings and organisation profile details — for example a society, department, venue, or promoter's name and events — on behalf of an organisation that has not yet applied to become an organiser. We do this so students can discover events even before the organisation has claimed its listing.

That interim listing continues until the organisation, or someone authorised to act for it, claims the listing or applies to become an organiser and is approved. From that point, day-to-day management of that organisation's presence — including its events and profile — passes to the organiser under the Organiser Agreement. This is not a permanent agency arrangement, and a listing appearing in the app does not mean the organisation already has an account with us.

If you represent an organisation listed in the app and want to claim it, or believe a listing about your organisation is inaccurate, contact us (see Contact below) or apply to become an organiser from within the app.

Moderation and takedown

Because the app includes user-submitted events and organiser profiles, we operate moderation to protect users and comply with our obligations:

Automated checks run on submitted text and images, using a keyword filter and an AI moderation service, and external links are checked for safety.
Some submissions require manual review before publication; others may be published after automated checks. An approved event is re-checked whenever it is edited.
We may reject, hide, edit metadata where permitted, or remove content that breaches these Terms or applicable law.
Users can report events and organiser groups in the app; reports are reviewed by our team.

We do not guarantee that all problematic content will be identified before it appears. If you see content that violates these Terms, please use the in-app report feature or email us. We may remove content and restrict accounts without prior notice where necessary to protect users or the service. How moderation is carried out, and what data it involves, is described in our Privacy Policy.

If you disagree with a decision

If we reject, hide, or remove your content, or restrict your account or organiser group, you can ask us to look again. Email privacy@whatson-events.com with enough detail for us to find the decision — for example the event title and date, the group name, and any reason we gave you.

We will review what you send and respond where we can. Contacting us does not pause a restriction that is already in place, and we may keep a decision that still appears justified under these Terms. Advertising and promoted content

Our Android and iOS apps display adverts supplied by Google AdMob. Adverts are always labelled and appear between event listings; the web app does not show adverts. Adverts come from third-party advertisers — their presence is not an endorsement by us, and we are not responsible for the products, services, or sites they promote.

You can choose between personalised and non-personalised adverts, and change that choice later, as described in our Privacy Policy.

Account termination and suspension

We may suspend or terminate your access, or deactivate an organiser group, if you:

Breach these Terms or any document incorporated into them.
Submit content that is unlawful, harmful, or repeatedly flagged.
Abuse reporting, invitations, follow requests, or other app features.
Pose a security or legal risk to us or other users.

You may stop using the app at any time and delete your account from within the app. Termination does not affect provisions that by their nature should survive (including liability limits and governing law). Where an organiser group is suspended or dissolved, associated events may be hidden or removed in line with our operational policies.

Third-party links and services

Events and profiles may link to external websites (tickets, social media, more information). We do not control third-party sites and are not responsible for their content, availability, or privacy practices. External links open outside the app at your own risk. We do not process payments or sell tickets; any purchase you make after following a link is a matter between you and that third party.

Disclaimer and limitation of liability

The app and all content are provided “as is” and “as available”. We do not warrant that the service will be uninterrupted, error-free, or that any event listed is safe, accurate, or suitable for you. Attendance at events is at your own risk.

To the fullest extent permitted by law, we exclude all implied warranties and shall not be liable for any indirect, incidental, special, or consequential loss arising from your use of the app or attendance at any event, except where liability cannot be excluded under applicable law (including death or personal injury caused by our negligence, or fraud).

Our total aggregate liability to you for any claim relating to the app in any 12-month period is limited to the greater of (a) the amount you paid us for the service in that period (typically zero, as the app is free to students) or (b) £100, except where a higher minimum is required by law.

General

Severability — if any provision of these Terms is found to be invalid or unenforceable, the remaining provisions continue in force.
No waiver — if we do not enforce a right or provision, that is not a waiver of it, and we may enforce it later.
Assignment — you may not transfer your rights or obligations under these Terms without our consent. We may transfer ours to a successor of the service, provided your rights are not reduced.
Entire agreement — these Terms, together with the documents incorporated above, are the entire agreement between you and us about your use of the app, and replace any earlier version.
Events outside our control — we are not liable for failure or delay in providing the service caused by events beyond our reasonable control, including outages of the third-party services the app depends on.

Governing law

These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction over any dispute arising from or relating to these Terms or your use of the app, without prejudice to mandatory consumer protections that may apply where you live.

Changes to these Terms

We may update these Terms as the app evolves. Material changes will be communicated in-app or by email where appropriate. The “Last updated” date at the top of this page, and the version at the foot of it, reflect the most recent revision. Continued use after changes take effect constitutes acceptance of the updated Terms.
